Announcements

As part of Macquarie’s internal communication infrastructure, the Marketing Unit will distribute one daily ‘MQ Announcements’ email bulletin to all staff at 11am whenever there are announcements to be made.

The format of this will be a short text enewsletter, containing a one-sentence description of each item with a click-through option to the full item which will be located on the web at www.announcements.mq.edu.au

This format replaces the previous ‘everyone’ email system. This new system will minimise the number of ‘everyone’ emails people receive (only one will be sent per day, except where there are urgent or extenuating circumstances), and will facilitate the enhancement of internal communication through enabling the use of images or maps to illustrate or add value to a message.

MQ Announcements should be used where messages are important, urgent, or need to be communicated to the majority, if not all, of the university community.

To ensure that this system is used in a proper and efficient manner the following procedures must be followed.

The Message
  • After receiving authorisation for your message, email it in plain text format to announcements@mq.edu.au.
  • Word, Excel or large text attachments are not suitable as body copy, but may be set-up as a link from the announcements website.
  • Images or maps are permitted provided they are in jpg or gif format and do not exceed 600px x 600px and limited to 250kb. PDF files will be accepted for maps, but these files should not exceed 250kb. Images will not be included in the email, but will be uploaded to the announcements website.
  • Dictation over the phone will not be accepted.
  • All emails will come from announcements@mq.edu.au, and your contact details will be included on the website.
  • Messages cannot be sent directly by staff and can only be sent by the Marketing Unit.
  • It may be at least an hour before the message starts appearing in individuals’ electronic mailboxes.
Message Criteria

The message must include the following:

  • Subject
  • Name and email address of the sender
  • An indication of whether the message needs to go to 'all staff' or 'staff and students' (in the short term, 'all student' emails should continue to be submitted to ITS)
  • The authorising member of the Executive
Obtaining authorisation

Before any message can be transmitted, you must obtain authorisation from the following authorising members of the Executive:

  • Professor Steven Schwartz, Vice-Chancellor
  • Professor Jim Piper, Deputy Vice-Chancellor (Research)
  • Professor Judyth Sachs, Deputy Vice-Chancellor (Provost)
  • Mr Paul Bowler, Deputy Vice-Chancellor and Chief Operating Officer
  • Ms Caroline Trotman, Deputy Vice Chancellor, Development and External Relations
  • Mr Tim Sprague, Director of Human Resources
Daily deadline

Announcements must be received by close of business the day prior to the message being sent. The message will then be disseminated to all staff and/or students by 11am each day. * Any message received after the COB previous day deadline will not be sent until the following day – there will be no exceptions to this.

All the above criteria must be satisfied prior to the message being sent. If not you will be advised.

To be a recipient of a MQ announcement, you will need to contact your local IT support group.
