MQ Announcement emails

Streamlining internal communication

Following recent staff feedback about the MQ Announcement messaging system, there are now new procedures relating to the content of our University-wide broadcast emails.
To ensure the MQ Announcement system continues to remain an effective communication medium it should only be used when messages are necessary for all staff to know straight away. This means only those messages which fall under the following criteria will be sent out as an MQ Announcement:

  • The content is important for all staff to know about (not just a segment(s))
  • It is urgent and immediate and/or related to safety/risk

Examples of MQ Announcements:

  • Changes to pedestrian access
  • Altered campus traffic conditions
  • General alerts about disruptions to services for staff
  • Payroll messages
  • Career enhancement and scholarship opportunities for staff
  • Personal messages or invitations from the Vice-Chancellor.

Your text may be edited to ensure the purpose of the announcement is clear in the headline and first sentence.

Obtaining approval

Before any MQ Announcement can be sent, approval must be obtained from one of the following members of the Executive, or whoever is acting on their behalf:

  • Professor Steven Schwartz, Vice-Chancellor
  • Professor Jim Piper, Deputy Vice-Chancellor (Research)
  • Professor Judyth Sachs, Deputy Vice-Chancellor (Provost)
  • Mr Paul Bowler, Deputy Vice-Chancellor and Chief Operating Officer
  • Ms Caroline Trotman, Deputy Vice Chancellor, Development and External Relations
  • Mr Tim Sprague, Director of Human Resources

Include the following in your MQ Announcement message:

  • Subject
  • Name and email address of the sender
  • An indication of whether the message needs to go to 'all staff' or 'staff and students' ('all student' emails should continue to be submitted to ITS)
  • The authorising member of the Executive

Deadline

The Marketing Unit will distribute an ‘MQ Announcements’ email bulletin to all staff at 11am daily, or at another negotiated time depending on the urgency of the broadcast.

Events Calendar - Promoting your initiative to staff

The Events Calendar is an immediate and simple way of promoting the following initiatives to interested staff members: 

  • Colloquiums
  • Information sessions
  • Seminars
  • Public lectures
  • Calls for volunteers and group meetings

Forward your information (including date, time and venue) to the Events Manager. A link to the Events Calendar is also available in the ‘What’s on @MQ’ section of our fortnightly internal newsletter, News@MQ.

News@MQ – Keeping staff up-to-date

Our fortnightly e-newsletter, News@MQ is a one-stop-shop for all that’s happening around campus. To save staff from having to rely on sourcing information from a number of areas or searching back through ‘MQ Announcements’ to find what they need, the following can be placed in our e-newsletter:

  • Grant notices
  • Scholarship alert applications
  • Staff development courses/seminars
  • Calls for volunteers for research or committee groups
  • Staff consultation or feedback opportunities
  • Business support messages, such as policy changes
